Some Key Features

of the Centurion Educational Supplies Accounting System

Software Integration.  We have gone to great lengths to eliminate double and triple posting through a process called software integration.  When the sale is made, the software automatically updates sales, inventory, tax files, accounts receivable (if applicable), and general ledger.  As a result you save time, eliminate data entry  errors, and reduce your administrative labor costs.  Since everything is posted by the system at its proper time, you have current financial information at your fingertips.  Examples:  Customer aged receivables, current inventory status, and current financial reports.  These tools give you the capability to more effectively manage your inventory, accounts receivable and vendor purchasing, and analyze your company's financial condition.  All this for about half the cost of a clerk at minimum wage.

File Building and Conversion.  The Centurion Educational Supplies Accounting System has pre-loaded the inventory for most of the vendors you buy from.  This makes the conversion and start-up go much faster, because the biggest job of building inventory records is already done.  Plug start-up balances, input accounts receivables, vendors and the general ledger chart of accounts, and you're ready to begin.  If you are replacing an in-house computer system, we can usually convert the existing inventory, AR and AP files; thus saving you the time to re-enter the information.

Point of Sale/Scanning.  The Centurion Educational Supplies Accounting System excels at the sales counter.  Two separate options are available - one with a terminal, receipt printer and cash drawer, and the other with full scanning and register display.  You can print a standard, 40-column receipt or a 8½ x 11 invoice for school district offices.  Either way, the system is fast and all the data is captured to feed the inventory and accounting system in a fully integrated manner.

                                     General Questions Companies Have
Concerning Acquiring a New Accounting System

MY COMPANY HAS SOME UNIQUE REQUIREMENTS; WHAT CAN BE DONE ABOUT THAT?  We understand that all companies are not alike, and we don't try to fit you into a "one size fits all" software package.  When we visit your company for the demonstration, any differences that are discussed between the package and your way of doing business will be noted.  The Modifications Section of our Proposal will detail how we will program these differences to make the package fit your way of doing business.  The software package should FIT your company - not your company being required to fit the package.

WHAT KIND OF TRAINING AND SUPPORT WILL MY PEOPLE GET?  We believe the secret to our success is the quality of our initial training and our responsiveness to your ongoing support needs.  The Centurion training and support people are accounting and training heavyweights who relate to your office staff at every level.  Not only do we train your staff on the operation of the software packages, we help you set up your General Ledger and Financial Statements.  Also, many of our support calls assist customers in handling day-to-day accounting questions concerning debits, credits and balancing.  Centurion's support package includes customization of the software, training spread over at least two convenient on-site trips, and the best after-the-sales support in the industry.  Your operators will be trained at their own pace with a combination of on-site and telephone training.  We use on-line modem capability to dial into your computer for training support, as well as software updates and problem resolution.  By "hand holding" our new customers, we ensure that new installations get off to a good start.  The final result is that you become another satisfied user on our customer list.

IF I ALREADY HAVE A COMPUTER SYSTEM, WHY SHOULD I CHANGE?  There are many reasons companies decide to change to a new accounting system.  Usually it's a combination of dissatisfaction with support responsiveness, unwillingness of the software supplier to make changes to the standard package you need to run your business, or very large annual support fees.  Many existing in-store POS systems are in fact just glorified cash registers.  Without integration to inventory, purchasing, customer, and financial modules, you are not getting the benefits you expected or paid for.  Some companies have older, locally customized systems.  The company that originally supplied the software is no longer in business, and/or the programmer is no longer available to keep the system current.  Any of the above situations can leave you frustrated, dissatisfied, and feeling you're not getting good value for your money.  Keep in mind - many times much of your existing equipment can be used with the new software, thus saving your company a substantial sum.

ALL RIGHT, MAYBE I'D LIKE TO CHANGE BUT HOW CAN I DO IT AND KEEP MY UP-FRONT INVESTMENT DOWN?  Many customers select our Lease/Purchase Option.  We combine the software and hardware into one lease.  By leasing you conserve your cash or regular line of credit for other purchases or operating capital, while gaining the accounting and management control it takes to run the business.  That's smart business!

The most important decision you'll make in selecting your new computer system will be selecting the supplier.  The supplier and its commitment to service and excellence - NOT the computer - is your guarantee of success.
